How to evaluate CCaaS providers

Write down your constraints first

Channels, markets and languages, telephony you must keep, CRM, compliance requirements, and the two or three metrics you are accountable for. Vendor shortlists built without this default to whoever demos best.

Score every vendor on the same criteria

Use the table above, weight the rows that reflect your constraints, and score from evidence - documentation, reference calls, a working environment - not from marketing pages.

Test on your own conversations

Bring real transcripts, your brand vocabulary and your awkward edge cases. Accuracy on generic sample data tells you nothing about your domain.

Pilot against a baseline

Pick a use case, record the current numbers, run live for a few weeks, and compare. Decide in advance what result would make you say no.

Price the whole programme

Licences plus integration, carrier costs, AI usage, services and internal change effort over 12 months - per vendor, on the same assumptions.
